Serve as chief executive officer for this club.
Preside at all meetings of the board of directors of this club.
Chair the Club Global Action Team and ensure the following:
Ensure the election of qualified Lion leaders for the position of club service chairperson, club membership chairperson and club vice president, who will serve as the leadership chairperson.
Ensure regular meetings to discuss and advance initiatives established by the Global Action Team.
Collaborate with the district Global Action Team and other club presidents to further initiatives focused on expanding humanitarian service, leadership development and membership growth.
In collaboration with the club officers and committee chairpersons, implement a plan for membership growth, community engagement, operational improvement and the fulfillment of humanitarian services as presented and approved by the club’s board of directors.
Issue the call for regular meetings and special meetings of the board of directors of this club.
Appoint standing and special committees and cooperate with chairpersons to effect regular functioning and reporting of such committees.
See that regular elections are duly called, noticed and held.
Ensure the club is operating in accordance with local laws.
Ensure proper administration of club operations by ensuring that all club officers and members adhere to the club’s and and the International Constitution and By-Laws.
Encourage diplomacy and solve disputes in a fair and transparent fashion utilizing the Dispute Resolution Procedure if needed.
Be an active member of the district governor’s advisory committee of the zone in which this club is located.
Serve as a mentor to vice presidents to ensure the continuance of effective leadership.
The president shall be an ex-officio member of all committees.
They shall be under the supervision and direction of the president and the board of directors and shall act as the liaison officer between the club and the district (single, sub- and multiple) in which this club is located, and the association. The responsibilities for this position shall be as follows:
Submit regular monthly and other reports to the international office of the association containing such information as may be called for by the board of directors of this association.
Submit to the district governor’s cabinet such reports as it may require.
Be an active member of the district governor’s advisory committee of the zone in which the club is located.
Have custody and keep and maintain general records of this club, including records of minutes of club and board meetings; attendance; committee appointments; elections; member information, addresses and telephone numbers of members; members club accounts.
Give bond for the faithful discharge of their office in such sum and with such surety as determined by the board of directors.
Deliver, in a timely manner, at the conclusion of their term in office, the general records of the club to their successor in office.
Prepare an agenda for each regular and Board of Director meeting
Prepare the minutes of each regular and Board of Director meeting.
Maintain the record of attendance for each regular and Board of Director Meeting. See that all members with perfect attendance be recognized.

Make the annual report to the Secretary of State for the Corporation usually in December of each year.

The election of officers will be the 1st meeting In April and the installation of the new officers will be the 1st meeting in May.
Collect dues from members in January.
For Foundation: When the Club receives a memorial the secretary will write a thank you (acknowledgement) to the person giving the memorial. The secretary will then notify the family of the memorial giving them the name and address of the donor. We keep a running list of all donations and memorials.

Communicate to the District Global Leadership Coordinator the need for training, the names of potential new leaders and the leadership development activities that club members attend.

Take a key role in membership retention and ensure organizational excellence by measuring member satisfaction and utilizing feedback to improve club operations.

Gain in-depth knowledge of district, multiple district initiatives that support leadership development, membership growth and the expansion of humanitarian service.

Maintain Civic & Charity checking account # xxx1268 this is a general ledger account where most deposits for the club are made
2 signatures required for all checks written from this account. The club has three members that can countersign all checks. The president, the treasurer, and secretary. Optionally, the deputy treasurer can be a signer.
Maintain Civic & Charity money market account # xxx8397. This account holds swimming pool operating funds, Tennis Court renovation funds and Band shell construction funds.
Maintain the swimming pool checking account # xxx0377. All swimming pool income and expenses go through this account. The pool manager sends employee hours to Swensen & Co. They prepare the payroll for the employees and the club treasurer prepares the checks.
The Treasurer and the pool managers or alternate both sign all checks. The payment of all state and federal taxes are automatically withdrawn from this account so the treasurer must be sure enough funds are in this checking account when funds are withdrawn. Usually on June 15th, July 15th, August 15th and September 15th. When funds are needed in this account they are transferred from the civic & charity money market account #1002008397.
Maintain the Administrative checking Account # xxx1292.
Member dues ($70.00 per year) and $2.00/ member are deposited in this account. The $2.00 per member is transferred from petty cash (50/50) at the beginning of each year. This is done to delay dues increases as long as possible. The treasurer only needs to sign checks to pay Lions International and District dues.
Maintain the Old Savings Account # xxx8428. This account holds various funds as needed to keep seperate. These include Kids In Culture, Easter egg hunt bike funds, picnic shelter funds and Thanksgiving Day dinner funds. Funds can be deposited directly into this savings account and if any funds are withdrawn they are transferred to the Civic and Charity checking account # xxx1268 and disbursed from this account with 2 signatures required.
Maintain D.P. Fabric certificate of deposit # xxx9583. This CD was created when Lion D.P. Fabric donated $5,000.00 to the club with the restriction that only the interest can be used for club purposes. The club also owns 3 other certificates of deposit. These are set up so that one of the CDs mature each year.
These deposits are earmarked for capital purchases and are # xxx2278, # xxx7632, and # xxx2709. These funds can be used only for equipment purchases with a life of more than 7 years.
Maintain the Capital purchases money market account # xxx7969. These are funds that were left over after the new swimming pool construction was completed. In addition, all sales of bricks and tiles, all donations for the pool and all memorials designated for the pool are deposited in this account. The funds are for purchases of capital purchases of equipment with a life of more than 7 years.
The club has a budget of $2,000.00 per year to be used to make donations and charity. Donations are kept track of in this area so that the donation budget is not exceeded.
The treasurer maintains records of income and expenses for each club project. 990 filing purposes as our tax return must include the income expenses and net income or loss for each project.
These include the Thanksgiving day dinner, Golf tournament, Trip of the Month, community birthday calendar, garage sale (If needed), Bingo night and the gun raffle.
All of the bank accounts are balanced each month.
The treasurer works with the club's accountant to get all of the financial information together to prepared for the annual 990 filing.
The treasurer prepares a new financial statement quarterly to be reviewed by the club Board of Directors. The Directors prefer a current financial statement, The financial statement from the previous quarter and a financial statement for the same quarter one year ago.
The treasurer prepares annual financial information for the swimming pool operations to be reviewed with the Choteau City Council.
The responsibilities of the deputy treasurer shall include assisting the treasurer as needed and being a signer on all club bank accounts.
Develop and implement an annual marketing plan in collaboration with the club membership chair. The plan should consider internal and external audiences, including club members, social media news media, supporters/sponsors and potential new members.
Collaborate directly with the Global Action Team to stay connected to all membership, leadership, and service programs, projects, and events.
Understand global brand guidelines and support proper use of brand materials in club events and service projects.
Promote the work of the club on social media. Develop a social media post calendar to follow club service, community involvement, and membership activities.
Work closely with the club membership chairperson to target and reach out to new potential club members.
Develop club marketing and public relations talking points for club members. Use word of mouth marketing tactics to promote the club and recruit new members.
Working with club leadership, submit marketing award application for consideration for the Lions International Marketing Award.
Motivate members to be brand ambassadors. Encourage members to take photos, share on social media, wear brand apparel, and share Lions messages during community involvement opportunities.
Publicize club activities, including service projects, fundraisers, donations, Lions Clubs International sponsored contests and other newsworthy accomplishments both internally and externally via the news media, social media, and other effective means.
Assist the club president in communicating information from the district, multiple district and international headquarters with the club members.

Participate in meetings held by the district marketing chairperson

Lead the service committee to implement the club’s service action plans in order to achieve the club’s service goals.
Incorporate opportunities for local youth and Leos to engage in all aspects of service activities, including goal setting, implementation, project evaluation and reporting.
Report service activities to Lions Clubs International.
Serve as a club resource on current community needs by monitoring the service activities of other service clubs, developing community partnerships to expand service, and utilizing tools and resources offered by Lions Clubs International and Lions Clubs International Foundation.
Increase member satisfaction by encouraging participation and engagement in service projects.
Collaborate with the club membership chairperson and other club committees to promote membership opportunities to non-Lions during service projects.
Attend the district governor’s advisory committee meeting of the zone in which this club is located when appropriate.
They shall promote harmony, good fellowship, life and enthusiasm in the meetings through appropriate stunts and games and the judicious imposition of fines on club members. There shall be no ruling from their decision in imposing a fine, provided, however, that no fine shall exceed an amount fixed by the board of directors of this club, and no member shall be fined more than twice at any one meeting. The tail twister may not be fined except by the unanimous vote of all members present. All monies collected by the tail twister shall be immediately turned over to the treasurer and a receipt be given.
They ensure that safety measures are in place by reviewing activities to identify potential hazards, completing the self-inspection checklist as available from Lions Clubs International, ensuring adequate supervision and acquiring proper insurance coverage. In the event of an incident, they gather and reports all significant information relevant to the incident to the insurance company in a timely manner.
The Lion tamer shall have charge of and be responsible for the property and paraphernalia of the club, including flags, banners, gong, gavel. They shall put each in its proper place before each meeting and return the same to the proper storage area after each meeting. They shall act as sergeant-at-arms at meetings, see that those present are properly seated, and distribute bulletins, favors and literature as required at club and board meetings. They shall give special attention to assure that each new member sits with a different group at each meeting so that they can become better acquainted.
They provide additional oversight and approval for items placed before the board of directors. The term of office is four-years in duration.
They communicate the mission and success of LCIF and its importance to Lions Clubs International, implements LCIF development strategies within the club and collaborates with LCIF district coordinator to promote LCIF in the local area to ensure alignment with district goals. This position also collaborates with the club service chairperson and the Global Action Team to support club initiatives.
They improve general meetings and keeps members informed of topics of importance to members by scheduling speakers and entertainment for general meetings based on the interests of club members. The program coordinator obtains permission for speakers from the president, informs the club secretary for inclusion on the agenda and informs the marketing chairperson to ensure effective communication. They welcome the speaker on arrival and ensures proper seating and welcoming during the event.
The members of the board of directors shall be club officers, Lion tamer, tail twister, club LCIF coordinator, program coordinator, safety officer, branch president, if so designated, and all other elected directors and/or chairpersons.
Regular meetings of the board of directors shall be held at such times and places as the board shall determine. (It is recommended that the board of directors meet at least once each month.)
Special meetings of the board of directors shall be held when called by the president, or when requested by three (3) or more members of the board of directors, at such time and place as the president shall determine.
Interprets the club constitution and by-laws and may be charged with facilitating changes in accordance with amendment procedures.
Chaired by the club treasurer to establish a detailed budget for the approval of the club’s board of directors, ensure proper documentation and authorization of funds, arrange for the annual audit of club accounts, and ensure the delivery of all financial information to the successor committee.
Chaired by the club president and includes the club first vice president (serving as the leadership chairperson), the club membership chairperson and the club service chairperson and supported by the club marketing chairperson. With the support of the board of directors, develops and initiates a coordinated plan to expand humanitarian service, achieve membership growth, and develop future leaders. Meets regularly with club members to discuss the progress of the plan and initiatives that may support the plan. Collaborates with members of the district Global Action Team to learn about initiatives and best practices. Shares activities, achievements and challenges with members of the Global Action Team. Attends the District Governor Advisory Committee meeting and other zone, region, district or multiple district meetings that feature service, membership or leadership initiatives to exchange ideas and gain knowledge that may be applied to club practices.
Chaired by the club marketing chairperson, the marketing committee supports the development of a club marketing plan. With the support of the board of directors, the marketing committee ensures effective communication with the club and the public to build public awareness and improve visibility of the club’s activities in the community.
Chaired by the membership chairperson to ensure membership growth by reaching new markets, actively recruiting members and ensuring member satisfaction. This committee also verifies the qualifications of potential members who are considered by the club’s Board of Directors and noted in item , of the Club Constitution. The membership committee should include last year’s membership chairperson, vice membership chairperson and any club members interested in new member recruitment and/or member satisfaction.
Chaired by the club service chairperson. Assists in developing service goals and action plans, identifying potential projects, guiding project planning and implementation and involving club members in meaningful service. Coordinates and ensures the effective leadership of service projects relating to the global service framework by supporting chairpersons assigned to each club service initiative. This committee may also be responsible for applying for relevant LCIF grants and developing community partnerships as approved by the club’s board of directors.
Assists members by providing access and/or support to online tools and communication as needed. May also provide support and/or serve as the club webmaster.
Chaired by the first vice president. Notifies club members of training opportunities offered by the district, multiple district and Lions Clubs International as well as non-Lion programs that could benefit club members.

If this is an existing customer ask, “Would you like to renew your calendar for the coming year? If they are renewing ask, “Do you have any changes, additions, deletions or other corrections?”.
Record these next to family listing on the call sheet.
If a family is new to the area ask, “Would you like to be listed on the Lions Club Birthday Calendar?”.
The calendar year starts on April 1 st and goes through March 31 st .
Calendars cost $15.
Calendars are available in mid to late March.

Profits from the sale of calendars are used for general operation and maintenance for the Choteau Lions swimming pool, tennis/basketball courts, providing eye exams or glasses for qualified individuals and funding of various student projects in school, 4-H and Scouts.
Obtain names, birthdates, a phone/cell number (good for texting). You may want to get an address of where to deliver their calendar(s).
Record this information on the form that is attached to the back of the call list.
Calendars are delivered between mid to late March. We would like to collect the calendar money at the time of delivery.
The Calendar Committee has set guidelines to ensure that the Choteau Lions Club Community Birthday Calendar will continue to be a fundraising source for the Lions Club as well as a very popular resource item for local community members. Committee Responsibilities:
The committee will develop a procedure to produce the annual birthday calendar as follows:
Schedule committee meetings as necessary during April and September.
•The committee will have a chairperson.
The committee will have no more than eight members.
The committee will suggest the price for the annual calendar and business ads. The Lions Club membership will discuss the pricing and will vote to approve or disapprove the prices.
The committee will develop a waiting list of potential new business advertisers by making note of new businesses in Choteau and the surrounding areas.
When a new business ad is needed to replace a current business ad, a random generator will develop a list of “X” number of new businesses from our waiting list. This is now our priority list. Our waiting list is in no particular order. We add new business names to this list as often as necessary.
The calendar cover sheet currently maintains a total of 132 ads – 66 ads on the front side and 66 ads on the back side. If 132 ads cannot be maintained, we may want to consider fewer cover ads and add a photo to the cover as in previous years.
During November 1st – December 20th , committee members will begin to contact current business ads on the calendar ad pages. They will make note of the businesses who want to remain on the calendar ad pages or those who want to be dropped from the calendar ad pages. Any dropped ads will be replaced from the priority list. The new businesses will have to produce an ad that contains their business information and a logo. The Acantha will have to approve their ad information.
The committee will make note of all advertisement changes and will submit this information to Jeff at the Acantha by December 20th. Jeff’s contact is: tetonads@3rivers.net
The Chairperson will request all Lions Club calendar call lists be turned back in on a certain date after all individual calls to calendar buyers have been made. The committee will check all of the call lists for any changes that need to be made by the Acantha.
Notes for the committee to follow during the months of April-July:
Request all call lists be turned in to the Chairperson after the calendar delivery has been completed. The Chairperson and a couple of committee members should check all calendar lists thoroughly for any changes.
The number of calendar sales has seemed to slowly be decreasing over the past few years. The committee suggests that all Lions Club members attempt to acquire new calendar names as there are many new people moving into Choteau, and surrounding areas, on a regular basis.
Ask committee members about any changes to current listings and/or new name additions that may have been acquired.
The chairperson will record all information obtained from the above lists and will submit it to Melody at the Acantha no later than August 1st . (This is the best month for Melody to update and print out the individual lists for club members.)
The chairperson will request a Master List from Melody after all changes are made.

August 1st: New calendar listings and any changes to Melody.
November 1 st – December 10th: Contact businesses about renewal of ads. Replace any drops. Notify Jeff by December 20th.
December 1st: Hand out call lists to all Lions Club members.
January 20th (approx.): All Lions Club members must return call lists.
Mid-March: Calendars to all Lions Clubs members for delivery.
April 15th: All calendars delivered, and money collected (for both individual calendars and business ads).

During pool operation
repair any equipment that doesn't need a specialist to repair,
After the pool is closed for the season
turn off pool heaters and
shut off natural gas to heaters and domestic hot water heater,
drain the pool and all piping systems,
pressure wash the empty the pool,
put carpet down the slope to the deep end so cats that get into the pool in the winter can get out,
close bottom drain valve,
open gutter valve,
After fall cleaning
fill pool with 4 feet of water for the winter,
drain and blow out the pool water piping systems, domestic and lawn sprinkler system with the city compressor,
put snow fence up around the pool to help keep leaves out of the pool,
pull pool gutter grates and store in change house, rake and remove leaves from the snow fence and pool one or two times in the fall,
move chemicals and equipment that can't freeze from change house and garage to the garage at the city office,
pull light bulb from the flag pool spot light,
take down sound system speakers and store in office.
Turn off water to the pool at the water meter.
Open valve near the outside spigot to drain main line to building.
Open valve under metal cover just outside the east walk in gate to drain water line from pool house to the pool.
Open drain valve on deck near the diving board to drain the return line from bottom of the pool and gutters.

Both mowers feature:

Side discharge attachments for when collection isn't needed.
Mulching capabilities for finely chopping grass.
Usage Tips:
Pool Area: Use the mulching option to avoid throwing clippings onto the pool deck.
Tennis Court Area: Bagging is unnecessary; use either discharge or mulching.
Self-Propelled Mower: Starts on the first or second pull without needing a choke.
Push Mower (White Model):
Has a choke on the left handle.
Pull the choke out before starting.
Push the choke back in once the engine starts to prevent stalling.
Location: Garage.
Fuel: Requires 50:1 mixed oil/gas. Bring your own mixed gas or trimmer if needed.
Starting Tip: It can be hard to start, but works well once running.
Check with the pool manager to schedule the best mowing times once the pool is open to avoid disruptions.
